Zimbra Polytechnique: What is it? Address, Configuration, Mail, Servers and Info

Zimbra Polytechnic — The need to use collaboration tools has been growing steadily for several years. We now need to share multiple information such as email, calendar, contacts, tasks, etc.

The collaboration system ZIMBRA (ZCS) allows you to save your information (email, calendar, contacts, tasks and availability) on a server. So, in addition to accessing your email online, you can view and edit your calendar, address book, and to-do list from any online computer and some PDAs. ZCS makes it possible to share your folders (calendar, contacts, mail and tasks) with other users. It also allows the delegation of your calendar to another person.

Finally, it facilitates, thanks to access to user availabilities, the organization of meetings between the various users of the environment and even external users. Access to this system can be done with various tools, including a browser (Internet Explorer, Firefox, Safari to name a few), Microsoft Outlook and most smart phones and tablets such as BlackBerry, iOS, Android and Windows and tablets.

Zimbra Polytechnique Messaging

A firstname.lastname [at] polytechnique.edu email address is assigned to all students and most school staff. It is just a pointer which does not contain any emails but redirects your messages to a mailbox where your emails are stored. This box can be managed by the DSI or by your laboratory. It expires when you leave the School.

The mailboxes managed by the IT department of l'X work under Zimbra, a messaging system also used by other IP Paris establishments. Each person present in the X directory has an account on this server.

All you have to do is delete a user from the directory to trigger the deletion of his box. This deletion is usually subject to an expiry date informed in advance by the secretariats of the various services.

Before it occurs, several closure notification emails are sent to the user:

“Your zimbra mailbox associated with this account will continue to function for another 2 weeks. After this period, your access to the mailbox will be blocked. Finally, after 6 weeks, the mailbox will be permanently deleted. »

Note that mailboxes have a default size of 10 GB.

  • The use of webmail is to be preferred as much as possible; access is via the URL: https://webmail.polytechnique.fr

Authentication

Authentication must be done using your email address (eg: firstname.lastname@polytechnique.fr). You can omit the domain name: @polytechnique.fr. 

Please note that your Zimbra account will be locked for a period of one hour following 20 consecutive unsuccessful login attempts within one hour.

Basket

The lifespan of messages in the trash is 31 days. After this period, the system deletes messages exceeding this criterion.

Spam folder (SPAM)

The lifetime of messages in the spam folder (SPAM) is 14 days. After this period, the system deletes messages exceeding this criterion.

Attachment

The maximum size of an attachment is 30 megabytes.

Contacts

The maximum number of contacts is 10000.

Synchronization

Inbox messages are synchronized every 5 minutes. It is possible to synchronize messages every 2 minutes between synchronization. To change this number, please execute the following sequence: Preferences>Mail, select the desired number of minutes between each synchronization and click on the Save button to save the modification.

Using Advanced and Standard Clients

Two versions of Zimbra Web Client are available.

Le advanced web client (Ajax) offers a full set of web collaboration features. works with most common browsers and high-speed Internet connections.

If you have a slow internet connection or prefer HTML messaging, you can use the standard web client (HTML). It basically contains the same functions as the advanced web client version, but you can access them differently.

Zimbra Web Authentication

With Zimbra Web, you can use a web browser (Internet Explorer/Chrome/Safari)

to access your mailbox remotely. After authentication, all the folders in your BAL (Mailbox) are accessible.

  1. Launch your web browser;
  2. In the address field, enter the following URL: https://webmail.polytechnique.fr/
  3. In the authentication window, enter your User code (firstname.lastname) and your email password. Click the Login button

Zimbra email setup

The preferred email access is webmail, but access via different email software is possible (the IT department will only provide support for webmail). Manual configuration of services:

  • IMAP server: imap.unimes.fr, Port: 143, SSL: STARTTLS
  • SMTP server: smtp.unimes.fr, Port: 587, SSL: STARTTLS
  • POP server: this service is not available.
  • Your username is your full email address, examples: firstname.lastname@polytechnique.fr

Warning: some phones require you to enter the login password for the smtp server

What is the Zimbra server?

Zimbra is an email server with collaborative work features. The Open Source version includes the function of mail server, shared calendars, shared address books, file manager, task manager, wiki, instant messenger. 

Here is the information needed to configure most email clients. Please use the following settings:

  • Receiving emails (incoming server):
    • Host name: webmail.polytechnique.fr
    • Connection type: Encrypted connection and data between client and server
      • POP3 SSL (port: 995) or IMAP SSL (port: 993)
    • User/ID: the full email address of the mailbox.
    • Password : the one provided.
  • Sending emails (outgoing server/SMTP):
    • Host name: webmail.polytechnique.fr
    • Connection port: 587
    • Authentication: enable authentication for sending emails.
    • Encryption security: enable the TLS protocol.
    • User: use the full email address of the mailbox.
    • Password : the one provided.

How to download Zimbra Desktop?

It is possible to configure your Zimbra Desktop email client. You can download the latest free version of Zimbra Desktop for your operating system. To do this, go to the page http://www.zimbra.com/downloads/zd-downloads.html and clicking on “Download”.
